General Characteristics
A Micrographics Specialist is responsible for producing and maintaining an accurate, high quality, readable and catalogued microfilm record of all documents submitted to the records management program for filming; assists departments in determining methods and procedures for reducing their hard copy records to an appropriate micrographic equivalent and to clearly catalogue and label microfilm content for retrieval purposes; assures confidentiality of the information in protected records; does related work as required. Operation of micrographic equipment requires a high level of manual dexterity and good visual acuity.

Examples of Work:
Consults with departmental personnel to advise and assist them in the selection of an appropriate micrographic format; clarifies content and clearly catalogues records.

Plans work and sets appropriate production schedules for a high volume of micrographic output; orders and maintains basic inventory of micrographic supplies.

Receives sorts and evaluates legibility of all documents; returns illegible documents to departments explaining that they are too unclear to be captured on microfilm.

Prepares documents for filming by removing paper clips/staples, securing torn documents with tape and highlighting embossed seals.

Photographs records and required standard test patterns using planetary/rotary camera; packages and labels film for delivery to processor; develops and completes required forms, logs and statistics.

Receives and evaluates quality of processed microfilm/microfiche to determine whether it is of "archival quality"; uses microscope, Kodak control test patterns and densitometer to ensure quality control standards are met.

Labels and inserts microfilm into plastic jackets using a jacket reader/filler; duplicates jacketed files for departments using a Diazo printer and processor; cross references microfilm following established procedures in order to facilitate retrieval; loads film into cartridges and references materials for retrieval.

Carries out routine cleaning and maintenance on the camera, printer, processor and reader/filler; arranges and schedules required repair work. 

Reads technical journals, publications and attends seminars or workshops to stay current on emerging technology for use in micrographics; advises management on selection of new methods and procedures.

Knowledge, Skills and Abilities:
Considerable knowledge of micrographic equipment operation and maintenance; knowledge of State and federal statutes and administrative rules pertaining to the operation of a micrographics facility; skill in performing routine cleaning and maintenance tasks and operating micro- graphic equipment; ability to stay current with technological changes in micrographics; ability to perform twisting, bending and fine motor movements required to photograph, develop, jacket, label and evaluate quality of micrographic material; ability to work independently and with a high degree of accuracy and speed; ability to evaluate micrographic output and assure quality control; ability to organize work and set appropriate work production schedules for high volume of micrographic output; ability to work safely.

Supervision:
Reports to and works under the general supervision of the Director of Human Resources. Work is performed independently according to established procedures. General instructions as to the scope of work and priorities are provided by the supervisor. Employee is responsible for daily operations with the supervisor available to consult on problems and policy decisions.

This position provides input into hiring, assigns work, prioritizes tasks, assures quality controls and trains hourly employees and student assistants.

Minimum Qualifications:
High school graduation or equivalent supplemented by course work in records management and photography is required. One year of experience in micrographics is required. Part of this experience should include record keeping, planning work flow, attention to detail and public contact.

Equivalent combination of training and experience will be considered qualifying.
